1.  Work Space: you will need to establish a place to do business in your home. This may be a separate work space or a desk – whatever you have available. It is important that the space be a place where there be minimal distractions. The space needs to be dedicated to your business.



2.  Office equipment: basics include office phone, smart phone, computer, and other general office supplies. There are several good site you can Google to get a list of office supplies or home-based business. Your phone should be equipped with a three way calling. Practice three-way calling and set up a business voicemail (available for FREE with MarketingScents Premier Account). Set up a separate phone if you have a busy household. 3.  Contact Inventory System: It’s important to keep records of your members in your organization and your prospective members, so that you can effectively and efficiently stay connected as a part of your business as you grow.
Paper version: purchase 3 x 5 or 4 x 6 file cards. Prepare a card for each new member and customer. Record personal information such as name, phone, address, email, etc. also keep records of the password and pin numbers assigned to each account. Keep notes of your conversations and follow-up when needed.
Electronic: keep all the above-mentioned information in an Excel spreadsheet or word document. This can also be done with a MarketingScents.com account.


4.  Personalized website: Having a Professional looking website helps explains and markets your products. Young Living provides a site, but we recommend that you use a site like MarketingScents.com, which can also serve as a email marketing campaign, training and back office. 5.  Social Media: Social Network sites are also effective methods of product awareness, prospecting, educating, learning and sharing, and can be linked back to your website.  Click here for Social Media training page.


6.  Personalize your marketing materials: Print your contact information on labels or create a rubber stamp with the same. Be sure to personalize all the marketing materials (brochures, pamphlets, PDF files, handouts, etc.) you distribute. Creating an electronic signature with all your contact information to use in the business emails or forms. Be sure to include a website address when you have one.

7. Business Name: Decide if you want a name for your YL business or if you would like to "Brand" yourself. This is NOT necessary, but for some people a company name can cover multiple services offered or describe their niche market.  For example you may be a health coach, personal trainer and YL Distributor.  One business name can help brand you and relate to your market what it is you do.  Company names can also describe your niche market to your targeted audience better than just representing yourself and these names allow social media followers to find you and immediately know what you are about.  Some of our favorite names; "Dr. Mom", "We Stopped Popping Pills and Started Using Young Living Oils", "There's an Oil for That".  We would recommend combinding both company and your name so everyone knows that you are the person to get their oils from.

 

8. Business Cards: Visit sites like www.VistaPrint.com or become a member with Send Out Cards and buy from yourself and order some inexpensive cards (not too many).  Try these cards out and document how they are working for you.  We've found that many new distributors will rework their cards numerous time before they really like it.  Business cards should include: Your name, Young Living Independent Distributor Member #, Phone Number, Email, Website.  A nice tag line and picture of yourself and an essential oil can help your prospective member remember who you are and what you are about.   TIP: Never give without receiving. The biggest mistake you will make is handing over your card without getting the prospective member's card or contact information.  You may well have thrown your card in the trash.  

9. Email Account: ​Create an email account that has a professional name, is easy to remember/type​ and represents your business.  It can be as simple as Sallysoils@gmail.com.  Set up a Distribution List for specific groups you would like to target emails to.  For example: YL Broadcast (this group would include everyone in your YL organization  Product Users & Business Builders), YL Business Builders, YL My Home Area (this would include emails that go out for local events near your location), YL East Coast, YL Mid-west, YL West Coast, etc.   Decide if you want to use an email program like "Constant Contact" or use the email program that comes with a Marketing Scents account.  Create Folders in your email account to collect important information so you can quickly and efficient retrieve it.  Some suggestions are: YL Members (put your emails from YL that give you details about new enrollees), YL Events (put your emails about upcoming events so you can locate them quickly), YL Product emails (make multiple email files. 10. Become a "Product of the Product".  Every month try a different product.  Adopt the Young Living Lifestyle and blog, Facebook,Tweet, InstaGram, Google+, Pinerest and LinkedIn about it.  Salesmen don't use their products; sharers share what to do and what they are.  We’ve heard many a YL member say, “Facts tell, stories sell.”  You can’t share your story if you don’t use the products.  Keep it simple and share your story.



11. Tax records: the IRS allows deductions for home-based businesses. You may wish to seek tax advice. To get started you need a bookkeeping system on paper or on a computer. Expenses such as supplies, travel, and phone are deductible. Keep a file for your records. You can measure square footage of your home office and calculate the percentage of your home expenses such as electricity, heat etc. Keep records of your travel and car expenses as they relate to your businesses. There are many phone apps that will do this for you. Take a photo of yourself in your home office for your files. Keep receipts of training seminars, convention, webinar trainings, and purchases of any training material. Your monthly Young Living rewards order is a requirement for compensation and commission. It is also considered your network franchise overhead expense. You can deduct $100 a month rewards plus the cost of other products you use for your business. 11. Banking: Open a bank account dedicated to your business and keep it separate from your home finances. When you become eligible, Young Living will provide a direct deposit option.  You can also use a credit card just for your business purchases to make it easier to keep track of your business expesense.


12. Filing: Have a place where you can file your brochures, marketing material, business and flyer handouts, blank enrollment sheets and training manuals is a must to keeping an organized office.

   Electronic Files/ Computer: Set up folders in your computer to store your documents, presentations and pictures.  Start by having a Young Living Folder on your desktop and add subfolders as you need them for each category you need to access.

13. Smartphone: Organizing your phone apps into folders will also help you become more efficient with your time management.  Suggested Folders:

Social Media, Texting, YL/Essential Oil Apps, Shopping, Camera/Video, GPS/Travel, Utilities (ie Calendar, Compass, Voice Memo), Music, Recipes, Games, etc...



14. ​Pictures: You can save pictures to your computer from sites like Facebook and Google Image.  To do this, just right click on the picture you would like to save, Organizing your pictures for Marketing, Product Education, Emails, Social Media or your website can also make your business more effective and is a great way to manage your time.

16. New Member Binder: purchase 3-ring binders and thin spiral notebooks with 3 holes punched out, a divider with folders and large mailing labels. Print contact information labels (see below) and attach a label to inside front cover of the notebook. You can also write this information inside of the notebook, but it looks more professional when printed.

17. EO Reference book: You will need some type of essential oil reference book.  These books provide you with research, recommendations and protocols for practically any human condition.  Click Here to view the Book Resources.


18. Networking books:  Leaders are Readers and reading various Network Marketing books will help you tweak and add to your organization.  Click Here to view the Book Resources.


19. Presentation Binder: Print a copy of the triharmony success training program or heart centered sharing program or whichever Training Program you choose. You can put one into a binder with other trainings material to keep it neat and professional looking for when you meet with your clients and help you keep you organized.  Print another copy for your desk.


20. Carrying case: You may wish to purchase a professional looking carrying case for your essential oils. 21. Sample bottles: You can now either purchase your sample directly from YL or you can make your own.  To make your own, start by purchasing small glass fragrant bottles is an easy and simple way to sample out your products. The best deals are found on eBay. 22. Create a "Communication Log"

A Communication Log is a documentation of telephone, e-mail or face-to-face discussions you have had with prospects, members, corporate, etc.  Having details of all your conversations will help.

 

23. Create an "Online Office" via Facebook

Create a Facebook group just for your Business Builders (or as we call our FB group, "Co-Leaders" (thanks to the idea of Jihan Thomas of TriHarmony).  This is the place we come together, get to know one another and support each other.  We create events to keep everyone up on all the various meetings, etc - all in one place.  We also upload files to share, such as marketing materials (i.e. Conventional Products vs. YL Products) or Powerpoint Presentations, new videos, products, and more.  Make a sacred place to share, ask questions and with downline...make yourself availble and supportive, but also make them co-Leaders and have a file with expectations of each Leaders' responsibilities.
